The Model File Classification Plan

The Model File Classiciation Plan is a resource that departments can use to develop their own department specific classification plans to organize and manage the records they create.

 Common Subject Headings

Subject headings represent the basic division of the Classification Plan. There are 16 subject headings based largely on function. Each subject heading has its own section in the Plan which includes a brief description of the subject heading as well as a description of the type of files classified under it.  

Note that the Classification Plan covers only common functions. Departments with unique functions will need to develop additional subject headings to cover records created by additional functions. 

  • Administration: Records relating to the day-to-day management and operation of university and departmental offices.
  • Advancement: Records relating to the promotion of the university's mission, departments and programs, and expansion of its resources.
  • Committees: Records relating to meetings, deliberations and activities of university, faculty and department committees.
  • Communications: Records relating to the collection, analysis and dissemination of information about the university, its departments and activities.
  • Equipment and Supplies: Records relating to the management of university and department equipment and supplies.
  • Facilities: Records relating to the management of university and departmental facilities and properties.
  • Finances: Records relating to the management of university and department financial resources.
  • Governance: Records relating to the self-governance of the university.
  • Human Resources: Records relating to the management of university faculty, staff and contractors.
  • Information and Technology Management: Records relating to the management of Information and Technology resources.
  • Liaison and Cooperation: Records relating to work with other individuals, departments, university, organizations, associations and external organizations.
  • Policy: Records relating to the development and implementation of departmental policies and procedures.
  • Records and Information Management: Records relating to the management of the university’s information resources.
  • Research Management and Administration: Records relating to research conducted by various units across the University.
  • Student Services and Records: Records relating to the documentation of students’ academic history and provision of support services to students.
  • Teaching and Academic Programs: Records relating to the provision of instruction at the University.
